INFORMATION FOR HIRERS

PRICES

All prices are subject to change. The price payable will be that which is current when booked.

PAYMENT

An invoice will be issued when booking is confirmed. Payment is due 30 days prior to the event, or immediately if the event is within 30 days. Preferably payment should be made by bank transfer. If this is impracticable please email mail@ravo.uk to arrange to pay by cheque or cash.

FACILITIES

Heating - The cost of heating is included in the hire fee. It is operated remotely and will be switched on before your hire session.

Kitchens – There is a kitchen on the ground floor. It has washing up facilities, fridge, oven, water boiler and is fully equipped with crockery and glassware. There is a smaller kitchen in the upstairs room. It has washing up facilities, fridge, kettle and is fully equipped with crockery and glassware.

Toilets – There are 2 unisex toilets and an accessible toilet on the ground floor with access from the front and rear of the building. There is 1 unisex toilet and an accessible toilet in the upper room. These are accessible from the upper room and the rear of the building.

LICENSABLE ACTIVITY

Check with the committee when booking the hall, the type of event you are holding as it may be a licensable activity. These may require a Temporary Event Notice (TENS). These are obtained through Westmorland and Furness Council and incur a cost to the hirer. The TENS must be obtained by the hirer.

Licensable activates include selling of alcohol, serving of alcohol, entertainment such as music, dancing or a sporting event. The hall is covered by PPL Music Licence. Alcohol must not be consumed outdoors.

HEALTH & SAFETY

As the hirer of the Ravenstonedale Community & Heritage Centre you take responsibility for the event or function and therefore have legal duties with regards to the safety of those persons assisting or attending the event.

If the hall is being hired for business use, ensure that you have carried out the appropriated risk assessment and have the required liability cover for the activity taking place.

Ensure that you have the correct safeguarding procedures in place for protecting and supporting vulnerable people.

Fire Safety – as the hirer you must be aware and adhere to the following points:

  • The fire evacuation procedure (posted on the notice boards).
  • The alarm is raised by shouting FIRE, evacuate the building and call 999.
  • The fire assembly point is at the front of the building by the entrance.
  • The arrangements for the means of escape for people with accessibility issues.
  • The location of all fire exits. 3 on the lower floor and 2 on the upper.
  • Ensure that all fire exits and clear of obstacles throughout the event.
  • There is a no smoking policy for the whole site, this includes the outside areas.
  • There must be no activities that involve the use of a naked flame or create a fire risk.
  • That any electrical appliance supplied by yourself must be in good condition and only used in accordance with the manufacturer’s instructions. You must not overload any electrical supply.

ACCESS TO PREMISES

The hirer will be issued with a code for the key box prior to the event. The code is for your personal or organisation’s use only and must not be given to other people.

If you require access to the hall before your booking to set up, include this request on the booking form or contact a member of the committee.

END OF EVENT

The premises are to be vacated by the end of your booked session. For evening events, this is 1am at the latest. All guests are asked to leave the premises quietly and respectfully.

After the event or function, you must ensure that:

  • All electrical appliances are switched off (excluding the fridge)- including lights, oven, water boiler and electrical heaters.
  • Chairs and tables are stored away from the radiators.
  • Rubbish is taken away and all areas are left tidy.
  • Check all fire exits and doors are closed and locked.
  • Return the key to the key box.

POST EVENT CLEANING

Ensure the premises are left clean and tidy at the end of the hire. If hirers cleaning is insufficient, the Committee reserves the right to make a professional cleaning charge of £100. Any damages to the property or breakage’s the occurred during the hire session will also be chargeable to the hirer.

CANCELLATION

Cancellations may be made, by email or contacting a committee member, up to 14 days prior to your booking. The Committee reserves the right to charge for cancellations made less than 14 days prior to your booking except if the Hall is able to hire to another user.
